Invoices on iPhone and Mac: how iCloud sync works

Start an invoice on your iPhone and continue on your Mac. Learn what iCloud sync needs, what to check if it stops working, and why syncing is not a backup.

When you finish a job, your iPhone is close at hand; when you review your invoices, you may be sitting at your Mac. You do not want to enter invoice details twice or email working files to yourself. Fakturino stores data locally and uses iCloud and CloudKit to sync it between your own Apple devices.

Two limits matter: the devices must use the same Apple account, and syncing is not the same as keeping a historical backup. This checklist helps you distinguish working across two devices from sharing data with a team.

What you need for invoices on iPhone and Mac

  • Fakturino on both devices. Before installing, check the current version’s compatibility in the App Store.
  • The same Apple account for iCloud. In the settings on your iPhone and Mac, check your Apple account details to make sure you are not using two different accounts.
  • A connection and access to iCloud. Changes depend on Apple’s services to reach the other device. A change made on a disconnected device cannot appear elsewhere immediately.

You do not need to create a separate Fakturino web account for everyday invoicing. See Privacy and data for details.

How to check that you can continue on another device

  1. Open Fakturino on the first device and prepare an invoice. If you are just testing sync, use a clearly labelled test draft and do not send it to a client.
  2. Finish saving your changes and leave the device connected to the internet.
  3. Open the app on the second device and check the corresponding invoice and its latest details. Compare the invoice number, client and amount, not just a similar name.
  4. Only continue editing or exporting after checking. If the invoice is missing, do not immediately create another copy of the same invoice.

This is a checking procedure, not a promise of a fixed transfer time. Sync may be temporarily limited if iCloud is unavailable.

When invoices do not appear on the other device

First check your connection, that both devices use the same Apple account, and iCloud availability. Also check that your app and operating system versions are supported. Note which device has the latest change and which invoice it affects.

Do not start by deleting the app, resetting data or restoring an older file. Protect your current data first and review the backup and restore options. Restoring clients and invoices replaces the relevant category of data; it is not a way to merge two different sets of records without careful consideration.

Sync, backups and PDFs serve different purposes

  • iCloud sync transfers working data. Changes and deletions may also be transferred.
  • Backup Vault keeps local restore points on a particular device.
  • An external JSON copy is a separate file for restoring data. Keep it outside the app in protected storage. It is a readable file, not an automatically encrypted archive.
  • An exported PDF is a document for a client or for archiving, not a replacement for the entire working database.

For your own devices, not a team using different accounts

Fakturino’s current sync is designed for devices using one Apple account. It does not promise shared company records across different Apple accounts. If several people need to collaborate, check your requirements first and do not try to solve this by sharing login credentials.
